Job Description
Position: Office Administrator X1
Location: Walvis Bay
Reporting: Managing Director
Key responsibilities:
- Record office expenditure
- Maintain office supplies of stationery and equipment
- Maintain the condition of the office and arrange for necessary repairs
- Organize conference and meetings with staff
- Manage contract and price negotiations with office vendors and service providers
- Provide general support to visitors
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Coordinate with the Managing Director on all office equipment
- Book business travel (transport and accommodation)
- Prepare letters, presentations and reports
- Manage office related phone calls and correspondence
- Assist colleagues whenever necessary
- Monthly bank reconciliation of expenses against the income
- Check and archive expense note on a monthly basis and produce report for payroll
- Prepare the reports/documents to be sent monthly to the company directors
- Co-ordinate any People/HR related matters & paperwork
- Ensure income tax and VAT returns are submitted and paid on time
- Any other administrative duties that are required from time to time
Skills and qualities:
- Overall office administration past experience is highly advantageous
- Excellent numeracy skills - capable of working quickly and accurately.
- Excellent interpersonal and conversational skills.
- Ability to work well under pressure.
- Fully honest and reliable.
- Skilled at managing the staff under your supervision.
- Smartly presented.
- Past experience with book keeping
- Past experience dealing with income tax and VAT returns
Entry requirements:
- Diploma/Degree of related discipline.
- Driving license is mandatory
- High level of computer literacy
Preferably the basic knowledge of the following:
- Accounting
- Business
- Finance
- Leisure management
- Management
- Mathematics
- Retail management
- Statistics.
